01

Confirm the purpose before paying

Begin with the receiving university, scholarship body or public authority. Ask which document it needs, whether it requires authentication, and whether an original, certified copy or electronic record is acceptable. Make one row per document with its issuer, destination, deadline and required signature. An agent’s package is not evidence that every item needs the same sequence.

An apostille confirms the origin of a public document, including the relevant signature or seal. It does not establish that your qualification meets admission requirements or that the document’s contents are correct. e-Sanad also explains that an exemption or simplified recognition arrangement may remove the need for apostille. Obtain the recipient’s answer before commissioning it.

Check the country relationship, especially Germany

Use the HCCH status table, including entry-into-force dates, objections and territorial extensions. Seeing both countries in the table is not sufficient. For a destination outside the applicable Convention relationship, ask its mission which authentication or verification route it accepts.

Germany is a material exception for Indian documents: the German missions’ June 2026 guidance confirms that Germany’s objection means the Convention does not apply between India and Germany. Germany also does not legalise Indian public documents. The German receiving authority decides whether case-specific document verification is necessary. Do not buy an Indian apostille as an automatic solution for Germany.

Use e-Sanad when the issuer and record are supported

e-Sanad depends on an eligible record in a connected digital repository and verification by the document-issuing authority. Uploading a scan does not make an unsupported record eligible. Check the issuer list and the exact document/year coverage; the portal lists Maharashtra’s secondary and higher-secondary board, but that does not establish coverage of every Maharashtra university award.

  • Open the official registration or sign-in page and choose the appropriate service.
  • Provide the requested document details and files, then review the fee before paying.
  • Save the application/document ID and track it through the official status page.

For records outside e-Sanad, identify the competent authority

MEA’s published route starts with the required authentication, followed by submission through an authorised outsourced provider and return of the completed document. The relevant state or issuing authority depends on the document category. Academic awards, civil certificates and affidavits should not be treated as interchangeable.

Use MEA’s current provider and regional-authority links. Its submission instructions call for the original/eligible true copy, a document photocopy and the applicant’s passport photocopy; an ordinary photocopy is not itself legalised. Confirm exactly what the receiving institution accepts before altering, binding or sending an original. For Maharashtra academic documents, resolve issuer verification and the state route separately.

Read the fee as several components

The MEA schedule lists ₹50 per apostille sticker; normal MEA attestation has no MEA fee. The authorised offline service charge is ₹84 per document, plus ₹3 per scanned page. These figures do not price university verification, state processing, translation or optional courier services.

The June 2025 Citizen Charter lists ₹40 for e-Sanad speed-post delivery and a usual MEA service period of seven working days after receipt at MEA. Earlier verification and delivery add time. Obtain an itemised quote and receipt; a private package price is not the government apostille fee. Older official FAQ pages still display earlier outsourced rates, so use the current MEA fee table and confirm the payable total.

Check the result against the original request

Compare names, document references and the attached certificate before forwarding it. Keep the complete document and apostille together, retain a clear scan and use e-Sanad’s e-Register when verification is needed. For Italy, confirm the university or mission’s separate translation and qualification-assessment requirements; an apostille does not complete those tasks.
